Privacy Policy
Privacy information pursuant to GDPR for this website of Advanced Realtime Tracking.
General information
Protecting your personal data is very important to us. We process and store personal data confidentially and in accordance with applicable data protection laws, in particular the GDPR and the German TDDDG.
Please refer to our Legal Notice for contact details.
You can reach our data protection officer at datenschutz@ar-tracking.de or by phone at +49 881 92530-00.
You may use this website without providing personal data. You have the right to obtain free information about the origin, recipient, and purpose of your stored personal data, and to request correction, blocking, or deletion. Consent given for data processing may be revoked at any time.
You have the right to lodge a complaint with a supervisory authority: www.bfdi.bund.de.
Hosting
This website is operated on servers of a hosting provider in the European Union. The provider processes access data (e.g. IP address, time, requested URL) on our behalf to deliver and secure the website. Legal basis: Art. 6(1)(f) GDPR. A data processing agreement pursuant to Art. 28 GDPR is in place with the hosting provider.
Server log files
When you access this website, the hosting provider automatically collects information in server log files transmitted by your browser, including date and time, requested file, referrer URL, access status, browser type, operating system, and IP address (shortened or anonymized after the connection ends).
This data cannot be attributed to specific individuals. Legal basis: Art. 6(1)(f) GDPR. Data is deleted when no longer required for operation, typically within 30 days.
Technically necessary cookies and local storage
This website uses technically necessary cookies or local storage to:
- save your cookie consent (
art-cookie-consent, localStorage), - remember dismissed notice banners (
art-event-dismiss-*, cookie and localStorage, stored for up to 1 year), - remember which news and article posts you have read (
art-news-read, localStorage, only after cookie consent).
You select the language version via the URL (/de/ or /en/); no separate cookie or localStorage entry is used for that.
This data is not used for marketing purposes. Legal basis: Art. 6(1)(f) GDPR and Section 25(2) TDDDG. You may disable cookies in your browser settings; website functionality may be limited as a result.
Contact by email
If you contact us by email, we store the data you provide to process your inquiry. Legal basis: Art. 6(1)(b) or (f) GDPR. Data is deleted once the inquiry is fully handled and no statutory retention obligations apply.
Interactive tools and forms on this website
When you voluntarily use the following features, we process personal data as described in the respective sections below:
- Contact form (e.g. footer “Request a tracking solution”, Cloudflare Turnstile)
- Online appointment booking (page “Book an appointment”, Cloudflare Turnstile)
- Tracking configurator (quote request with configuration summary and optional preview image, Cloudflare Turnstile)
- Question about selected text (context feedback on page content, Cloudflare Turnstile)
- Newsletter (CleverReach, double opt-in, Google reCAPTCHA when you use the form)
Cookies, local storage, web analytics (Matomo), and embedded videos are described in the sections below.
Online appointment booking
On this website you may optionally book a consultation appointment online (page “Book an appointment”). We process the following personal data:
- name and email address (required)
- optionally: company, phone number, topic/short description
- selected appointment (date and time in Central European Time, Europe/Berlin)
- language of the booking page
Purpose: scheduling and conducting a consultation with our sales team (appointment planning, calendar entry, provision of the video meeting link).
Storage: until you confirm, we temporarily store your request on the web server in a file under data/booking-pending/ (with unique confirm and cancel links). Retention of this temporary file: at most 48 hours (configurable on the server) — if you do not confirm within that period, the file is automatically deleted (not merely marked as expired). If you cancel via the link, the file is deleted immediately.
After you confirm, we create a calendar entry in our CalDAV calendar system. It includes the appointment time, your name, your contact details, and the link to our Jitsi video meeting. The calendar entry is the authoritative record for our sales team. The temporary server file with your form data is deleted immediately after successful confirmation. For up to 30 days, a token-based confirmation file without personal data (appointment time and calendar ID only) may remain so the confirmation link still works — without name, email, or message.
Email: after submitting a request you receive an email with links to confirm or cancel. Only after you confirm you receive another email with the calendar file (.ics). Our sales team is notified only after you confirm (contact address see Legal notice). Email is sent via our SMTP mail server from a sender address on our domain.
Video meeting: we provide a link to our Jitsi conference environment for the call. When you open the link, a connection to our conference server is established; technical access data (e.g. IP address) may be processed. Use of the video meeting is voluntary as part of the agreed appointment.
Technical processing: to prevent abuse, we briefly evaluate the IP address of booking requests in a memory-limited rate limit on the web server (in-memory, not stored for marketing purposes). Additional caps apply per IP address and email address for booking requests. Server log files of the hosting provider apply in addition as described above.
Spam protection (Cloudflare Turnstile): the booking form uses Cloudflare Turnstile to prevent automated bookings. Technical data (e.g. IP address, browser information) may be transmitted to Cloudflare, Inc. (USA). For more information, see Cloudflare's Privacy Policy. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in abuse-free use of the form).
Legal basis: Art. 6(1)(b) GDPR (pre-contractual steps or performance of the appointment arrangement at your request) and Art. 6(1)(f) GDPR (legitimate interest in providing booking securely and preventing abuse).
Retention: CalDAV calendar entries remain for appointment coordination by the responsible ART team and are typically deleted no later than 30 days after the appointment, unless statutory retention obligations require otherwise. Temporary pending files and token-based confirmation files without personal data are removed automatically as described above. You may request deletion or correction of your data at any time (see General information).
By submitting a booking you confirm that you have read this privacy policy. The appointment is only binding after you click the confirmation link in the email.
After confirmation, you can download a calendar file (.ics) or import it from the email. The file contains the appointment time and the Jitsi link.
Tracking configurator (quote request)
On this website you may submit a quote request via the tracking configurator. We process:
- name, email address, and company (required)
- optionally: message
- your selected configuration (usage profile, room dimensions, camera type and count)
- optionally: a preview image of your configuration (PNG)
Purpose: handling your product and project inquiry by our sales team.
Email: your request is sent via SMTP to our sales team. You receive a confirmation email at the address you provide. Email is sent from a sender address on our domain.
Technical processing: to prevent abuse, we briefly evaluate IP address and email address in memory-limited rate limits on the web server (in-memory, not stored for marketing purposes).
Spam protection (Cloudflare Turnstile): the form uses Cloudflare Turnstile to prevent automated submissions.
6(1)(b) GDPR (pre-contractual steps at your request) and Art. 6(1)(f) GDPR (legitimate interest in providing the form securely and preventing abuse).
Retention: the request is forwarded by email to our sales team; it is not stored permanently in a website database. Email communication is subject to our sales team's internal retention periods.
By submitting a quote request you confirm that you have read this privacy policy.

By submitting the contact form you confirm that you have read this privacy policy.
Context feedback (question about selected text)
On this website you may select text on a page and ask a question about it. We process:
- the text passage you selected (max. approx. 500 characters)
- page title, URL, and language of the page you were viewing
- optionally: content type and slug (derived from the page URL)
- name and email address (required)

Technical processing: to prevent abuse, we briefly evaluate IP address and email address in memory-limited rate limits on the web server (in-memory, not stored for marketing purposes).
Spam protection (Cloudflare Turnstile): the form uses Cloudflare Turnstile to prevent automated submissions. Technical data (e.g. IP address, browser information) may be transmitted to Cloudflare, Inc. (USA). For more information, see Cloudflare's Privacy Policy. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in abuse-free use of the form).

By submitting your question you confirm that you have read this privacy policy.
Embedded videos (YouTube/Vimeo)
Some pages may include videos from external providers (e.g. YouTube or Vimeo). These are only loaded when you actively click “Play video” (click-to-load). Only then is a connection established with the provider; data such as your IP address may be transmitted.
YouTube is embedded via youtube-nocookie.com to reduce data collection. For more information, see Google's Privacy Policy. Legal basis: Art. 6(1)(a) GDPR (consent by click) or Art. 6(1)(f) GDPR.
SSL encryption
This website uses SSL/TLS encryption for security reasons.
Web analytics (Matomo)
When enabled, we use Matomo for anonymized reach measurement — self-hosted on servers in the European Union under our domain. Matomo runs in cookieless mode (disableCookies) — no tracking cookies are set. Processed data may include visited pages, referrer, and shortened IP addresses. Legal basis: Art. 6(1)(f) GDPR.
You may object to reach measurement by enabling “Do Not Track” in your browser or contacting us at datenschutz@ar-tracking.de.
Newsletter
You may subscribe to our newsletter on this website (form in the footer). We process:
- your email address
Purpose: Sending information about ART products, applications, and company news if you have subscribed.
Double opt-in: After entering your email address, you will receive a confirmation email. You are only added to the active mailing list after clicking the confirmation link. Without confirmation, no newsletter is sent.
Recipient / processor: Delivery and list management are handled by CleverReach GmbH & Co. KG, Schafjückenweg 2, 22041 Hamburg, Germany (CleverReach privacy policy). We have a data processing agreement with CleverReach pursuant to Art. 28 GDPR.
Legal basis: Art. 6(1)(a) GDPR (consent through subscription and confirmation in the double opt-in process).
Retention: Your data is stored for as long as you are subscribed. After unsubscribing, your data is deleted at CleverReach unless statutory retention obligations apply.
Withdrawal: You may withdraw your consent at any time — e.g. via the unsubscribe link in each newsletter email or by contacting datenschutz@ar-tracking.de.
Spam protection (Google reCAPTCHA): The newsletter form uses Google reCAPTCHA v2 to prevent automated sign-ups. The reCAPTCHA widget and the associated Google script are only loaded when you use the email field in the newsletter form — not on a plain visit to the website. Data (e.g. IP address) may be transmitted to Google LLC (USA). For more information, see Google's Privacy Policy. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in abuse-free use of the form) or Art. 6(1)(a) GDPR where consent is required.

We expressly object to the use of contact data published under legal notice obligations for sending unsolicited advertising.
